QuickBooks Desktop Pro is one of the most popular accounting solutions available, but it is not always the most user-friendly. That’s why we’ve put together a QuickBooks Desktop Pro 101 Series to walk you through everything you need to know. We are here to help you every step of the way, from setting up your account to adding contacts to sending your first invoice. To begin this series, we’re taking a page from Julie Andrews’ book and starting from the beginning (which is a great place to start). In this article, we will not only walk you through the process of creating your account, but we will also explain the key preliminary steps you must take before you begin using the software to run your business.
Install QuickBooks Pro on Your Computer
First and foremost, you must install QuickBooks Pro on your computer. Before you begin, review the QuickBooks Pro hardware requirements to ensure that your computer is compatible.
If you haven’t already, you’ll need to buy a QuickBooks Pro license. There are several options for purchasing the software:
- Purchase a QuickBooks Pro subscription (for $299.99/year, usually discounted) from the QuickBooks Pro website.
- Purchase a license from the QuickBooks Pro website for $399.99 (one-time payment).
- Staples or another local office supply store.
STEP 1: Begin the download
If you purchased your QuickBooks Pro license from Intuit’s website, you will be given a license number as well as a product number. You’ll need these numbers on hand to set up your account.
When you have these numbers, go to your order confirmation and click the “Start using QuickBooks Pro now” button to install QuickBooks Pro on your computer. Before you begin the download, make sure you’ve selected the correct version of QuickBooks Pro.
If you bought your license in a store (such as Staples), the license and product number can be found on the back of your QuickBooks Pro box. After you’ve obtained these numbers, open the package and insert the disc into your computer to begin the download. After this point, the installation and setup procedures are the same regardless of how you obtained the software.
STEP 2: Accept the license agreement
- Once the download is complete, you’ll be taken to a screen that looks like this:
- Click “Next”; then accept the QuickBooks Pro License Agreement.
QuickBooks Pro recommends Express, which is what we chose for our example company, but you can learn which method is best for you by clicking the question mark icon in the bottom left-hand corner of the screen.
Get acquainted with the QuickBooks pro organization
When you first launch QuickBooks Pro, it can be a little daunting. In this section, we’ll go over the basic organization so you can start using the software right away.
When I first saw the Home page, it appeared to be a jumble of random icons. However, there is a method to the madness. Each icon represents a significant feature of QuickBooks Pro. These icons are divided into five categories:
- Vendors
- Customers
- Employees
- Company
- Banking
There is a menu on the left-hand side of the screen that reads Home, My Company, Income Tracker, Bill Tracker, Calendar, Snapshots, Customers Vendors, Employees, Bank Feeds, Docs Reports, Order Checks, Add Payroll, Credit Cards, Services, User Licenses, and Feedback in addition to the Home screen.
ADD YOUR COMPANY INFORMATION
After you’ve changed your preferences, you’ll need to enter some critical company information before you can use the software.
- Your contacts
- Your vendors
- Your items (or services)
- Your employees
You can enter this information manually or directly import existing files into QuickBooks Pro. We walk you through the process of importing a chart of accounts, customers, vendors, and items.
